Company: bullionOS, LLC, operated under the umbrella of Rhodes Capital Group LLC.
1. Overview
This policy addresses personal information processed through bullionOS customer software accounts and related services. Website inquiries, newsletter subscriptions and marketing-site visits are described in the Website Privacy Notice. Applicable customer agreements and data-processing terms also govern customer account data; this notice does not replace them.
2. Information We Collect
Account Information
- Name, company name, role, email address, phone number, billing details, and login information.
Business Data You Add to bullionOS
- Client records, inventory information, product records, invoice data, transaction notes, pricing settings, and related business records.
Technical and Usage Data
- IP address, browser type, device information, log data, session activity, performance data, and platform usage information.
3. How We Use Information
- To provide, operate, and support bullionOS.
- To create and manage user accounts.
- To process billing and subscriptions.
- To improve reliability, security, and product performance.
- To communicate with you about support, updates, billing, and service matters.
4. We Do Not Sell Dealer Data
bullionOS does not sell your client data, invoice data, inventory data, or transaction records.
5. How Information May Be Shared
We may share information only as needed with service providers that help us operate bullionOS, such as hosting providers, payment processors, email systems, analytics tools, support systems, pricing data providers, and other infrastructure providers.
We may also disclose information when required by law, to protect rights or security, or as part of a business transfer such as a merger, acquisition, financing, or asset sale.
6. Dealer Responsibility for Client Data
Dealers are responsible for ensuring they have the right to enter client information into bullionOS and for complying with laws that apply to their business, including privacy, tax, anti-money-laundering, recordkeeping, and consumer protection obligations where applicable.
7. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include encrypted connections, access controls, authentication safeguards, monitoring, and controlled system access.
No system is perfectly secure. Dealers should use strong passwords, restrict employee access, and maintain appropriate internal controls.
8. Data Retention
We retain information for as long as needed to provide bullionOS, comply with legal obligations, resolve disputes, maintain backups, and enforce agreements.
After cancellation or termination, data may be exported, retained, or deleted according to the applicable agreement or operational retention schedule.
9. Cookies and Analytics
Customer software accounts may use browser technologies for sessions, security and functionality according to their configuration and applicable notices. Website technologies are addressed in the Cookie Notice; this paragraph is not consent to optional tracking.
Browser controls may affect required account functions. Optional technologies remain subject to applicable disclosure and consent requirements.
10. Privacy Rights
Depending on your location and applicable law, you may have rights to request access, correction, deletion, portability, or restriction of certain personal information.

11. Children’s Privacy
bullionOS is intended for business users and is not directed to children under 13.
12. Google User Data
Dealers can choose to connect a Google account to bullionOS. Connecting is optional and is done by the dealer through Google’s own sign-in and consent screen. bullionOS requests only the two permissions described below, and uses them only for the features the dealer turns on.
What bullionOS accesses and why
- Google Calendar (calendar.app.created). bullionOS creates one calendar named “bullionOS” in the connected Google account and adds, updates and removes events on that calendar for appointments booked in bullionOS, such as the appointment time, customer name and appointment details. This permission only reaches calendars bullionOS itself created. bullionOS cannot see, read or change the dealer’s other calendars or their events.
- Gmail (gmail.send). When a dealer presses “Send” on an invoice, receipt or quote, bullionOS sends that email to the dealer’s customer from the dealer’s own Gmail address. This permission only allows sending. bullionOS cannot read, search, label, modify or delete any email in the account.
How Google user data is used, stored and shared
- Google user data is used only to provide and improve these user-facing calendar and email-sending features.
- bullionOS stores the authorization tokens Google issues so the connection keeps working, and protects them with the safeguards described in Section 7.
- bullionOS does not sell Google user data, does not use it for advertising, and does not use it to develop, improve or train generalized artificial intelligence or machine learning models.
- Google user data is not transferred to third parties except as necessary to provide or improve these features, to comply with applicable law, for security purposes, or as part of a merger, acquisition or sale of assets.
- bullionOS personnel do not read Google user data unless the dealer gives explicit permission for specific data, it is needed for security purposes such as investigating abuse, or it is required to comply with applicable law.
Disconnecting Google
A dealer can disconnect Google at any time from within bullionOS, or by removing bullionOS access at myaccount.google.com/permissions. After disconnecting, bullionOS stops creating calendar events and sending email through the account and deletes the Google authorization tokens it stored. Requests to delete other Google user data held by bullionOS may be sent to privacy@bullionos.co.
Limited Use
bullionOS’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
13. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date.
